Minutes of the April 08, 2010 BOD Meeting

Lovettsville Dolphins Board of Directors Meeting April 8, 2010

 

 

In attendance:

Bryan Carter, John Blackwell. Brenda Hill, Mary Marcheschi, Margaret Cucinell, Merideth Gieseman, Janet Pasielski, Kim Davis, Mike O'Brien, Lynn Jacobsen, Theresa Bruton

 

Team:

ODSL schedule is posted to website.  Practice schedule is being worked on with LovCC.

 

There will be three assistants (Capwell, Hailey, and Nikki) along with Jacob as the head coach.

 

So far, there have been 70 returning swimmers registered.

 

Decision was made to open up registration to all on April 15th.

 

Swimsuits are on sale currently – email went out.

 

Prior year outstanding fees were reviewed to see if we can collect on any.

 

Need to follow up with Linda on swimsuit fitting and talk to her about T-Shirts.

 

Need to order caps for the team – Currently there are 104 caps in stock.

 

Need to talk with Michelle on ribbons and transition to new person.

 

Clean up crew should have 1 leader and 4 volunteers this year.

 

We need to have two people for scorekeeper help at Home meets again – other team sometimes doesn’t provide a person.

 

Concessions:

We are working with Tropical Smoothie to be at a meet for refreshments.  Currently we are looking for them to come to the Tri-Meet.

 

Talking to Michelle McIntyre, Caterer, for the other meets.

 

We will use gift certificates received to start stock piling drinks etc.

 

Checking on a coffee urn.

 

Fundraising:

Received four gift certificates from Wegman’s, Giant, Target and Costco.

 

Major sponsors so far: Pump It Up

                                    Loudoun Deck and Fence

                                    Perfect Service Cleaning

                                    Salon Alure

 

Talking to Tenderjacks to have a fundraiser ie have team stop by on a Saturday and % of profits go to the team.  Time would be 11-4 on a Saturday.

 

Also looking at a possible carwash at Tenderjacks.

 

In total, Fundraising is at ~$2300.00

 

Events:

Still working on the cost effectiveness of the kickoff party.  The new, higher pool and gym rental costs are a major concern along with the cost of food.  Currently, we are looking at a downsized Kickoff party at the Community Center with limited food.  Date of Kickoff will be 6/5.

 

Another option to Kick Off party is to have just a split session parents meeting at the first practice and no Kick Off party.

 

Ice Cream Social is being discussed to coincide with the float decorating.

 

For the July 4th parade we are looking into running the snow cone booth again as we did last year.
